Why e-signature software is about more than a signature
Sending a PDF by email, printing it, signing it, and scanning it again can work, but it creates avoidable effort. E-signature software connects the document, the signers, and the process in one digital workflow. It can send invitations, provide structured input fields, trigger reminders, and document completion.
For freelancers, speed is often the main priority: an accepted proposal or project agreement should return without switching between paper and digital formats. Teams also need roles, templates, approvals, and a central overview. The relevant question is therefore not simply whether software supports electronic signatures, but whether it fits the actual contract process.
Common use cases include:
- proposals and order confirmations
- project, framework, and service agreements
- non-disclosure agreements
- consents and approvals
- supplier and procurement documents
- internal policies or acknowledgements
Not every document is suitable for the same signature process. Statutory formalities, industry requirements, and internal policies should be reviewed before a workflow is introduced.
Freelancers and teams have different requirements
Freelancers usually need a streamlined process. A document is uploaded, signature and date fields are added, and it is sent to one or more people. Ease of use, reusable templates, and a professional customer experience matter. Recipients should also be able to complete the process on a mobile device without installing specialist software.
Consider a practical example: a designer creates a proposal defining the project scope, fee, and usage rights. After checking it internally, she starts the signature process. The client adds the billing address and signs. Both parties receive the completed PDF and the related process documentation.
Teams need additional controls and clearly defined responsibilities. Sales representatives may be allowed to prepare contracts from approved templates without changing standard clauses. Above an internally defined order value, an additional management approval can be required. Once signed, the document should be stored in the correct customer or project folder.
Relevant team features include:

SES, AES, or QES: choosing the appropriate signature
The eIDAS Regulation distinguishes between three levels of electronic signature: simple electronic signatures (SES), advanced electronic signatures (AES), and qualified electronic signatures (QES).
An SES may be created by typing a name, drawing a signature, or confirming an action. It is practical for many routine business processes, provided no specific form is required and the method is appropriate for the relevant risk.
An AES must meet additional requirements. It is uniquely linked to a signer, is capable of identifying that person, and is created in a way that makes subsequent changes detectable. The exact technical implementation and identity checks depend on the provider and the method used.
A QES is based on a qualified certificate and created using a qualified electronic signature creation device. Under eIDAS, it has the equivalent legal effect of a handwritten signature throughout the EU. Whether a QES is required for a specific document—or whether electronic form is permitted at all—depends on the transaction and the applicable rules.
A sensible decision therefore starts with three questions:
- Does a statutory or contractual form requirement apply?
- What are the financial risk and potential evidentiary needs?
- How much identity verification is proportionate for the signers?
The highest signature level is not automatically the best option for every process. Additional identification can create friction. On the other hand, convenience should not lead to formal or security requirements being overlooked. Legal review may be appropriate for unclear or particularly important agreements; software is not a substitute for legal advice.
Audit trails, integrity, and proof of time
A robust signature process does not end with the visible signature on a PDF. How the workflow is documented also matters. An audit trail may record when a document was created, sent, opened, and completed, as well as the authentication or confirmation steps used.
When assessing a solution, users should determine what information is actually recorded, how those records are protected, and whether they can be exported with the document. An audit trail can provide useful evidence, but it does not automatically guarantee that a document will be accepted in every dispute.
The integrity of the completed PDF is equally important. Technical signatures or seals can make subsequent alterations detectable. Timestamps can provide additional evidence that particular data existed at a specific time. A distinction should be made between ordinary system time records and qualified electronic timestamps under eIDAS.
Considering GDPR when selecting a provider
Contracts regularly contain names, contact details, job titles, and other personal information. Businesses and self-employed professionals should therefore assess more than usability when choosing a provider. The relevant data protection framework and actual processing activities also need attention.
Points to review include:
- a data processing agreement where required
- documented technical and organisational measures
- storage locations and possible international data transfers
- subprocessors used by the provider
- encryption in transit and at rest
- role, permission, and administration controls
- retention, export, and deletion options
- procedures for security incidents and data subject requests
“GDPR compliant” should not be treated as a stand-alone marketing guarantee. Whether a particular use is compliant also depends on the configuration, purpose, legal basis, internal procedures, and content uploaded by the customer. Documents containing especially sensitive information may require additional safeguards.
A practical workflow in six steps
A digital contract process can often be introduced through a manageable sequence:
- Identify document types: Determine which agreements are sent frequently and which formal requirements apply.
- Standardise templates: Define approved content, mandatory fields, and responsibilities.
- Select the signature level: Choose SES, AES, or QES according to the requirements and risks.
- Map approvals: Keep internal review separate from the external signing process.
- Define storage: Decide where the PDF and audit trail will be stored after completion.
- Run a pilot: Test the workflow with a small number of typical documents and realistic user roles.
A team workflow might operate as follows: sales generates an agreement from the CRM. If it contains special commercial terms, the sales manager must approve it first. The customer then signs, followed by an authorised representative of the company. The completed document is attached to the customer record, and its new status triggers the next operational task.
An API is particularly useful when documents originate in a CRM, ERP, HR platform, or customer portal. For occasional transactions, a web interface with reusable templates may be simpler and more economical.
Criteria for comparing e-signature software
Before making a decision, freelancers and teams should test shortlisted tools using realistic but non-sensitive sample documents. The following questions help reveal practical differences:
- Does the software support the required signature levels?
- Can recipients sign without creating an account?
- Is the process clear on both smartphones and desktop computers?
- Can signing order, reminders, and expiry dates be configured?
- Are templates, mandatory fields, and team permissions sufficiently flexible?
- What information is included in the audit trail?
- How can completed documents be exported and deleted?
- Are integrations, webhooks, or a documented API available?
- How are costs for users, document volume, and identity verification calculated?
- What support is available when technical problems occur?
For a freelancer, quick setup may matter more than advanced permission controls. As a team grows, governance, central administration, and integrations become increasingly important. The most suitable e-signature software is therefore not necessarily the product with the longest feature list. It is the one that brings together the appropriate signature level, data protection controls, reliable records, and a workable process.
